Privacy notice

This notice explains how the Global Association of Cultural and Educational Exchange ("GACEE", "we") collects, uses, discloses and looks after the personal data you provide on gacee.org and on the association's digital portal, hub.gacee.org, in line with Singapore's Personal Data Protection Act 2012 (PDPA).

What we collect: information you give us when you register for an event, submit a competition entry, subscribe to the newsletter, use the partnership or contact forms, or create a portal account — such as your name, organisation, email address and region, and the age group and school needed for competitions. We collect only what each programme needs.

How we use it: to run the programmes you take part in, reply to enquiries and partnership requests, issue and verify certificates, and, with your consent, send the association's newsletter. We do not sell personal data.

Newsletter: subscription uses double opt-in. After you submit, we send a confirmation email and you start receiving issues only once you confirm; we record when and to what you agreed. Every issue has a one-click unsubscribe link.

Forms and registrations: partnership and contact form submissions go to the association's digital portal and are handled by the Secretariat. Event registrations are made on the digital portal and used to confirm attendance and send joining links and replays; online events may be recorded, and recordings are available to registrants only.

Certificate verification: anyone can check a certificate by entering its number. Public results show only a partially masked holder name, the certificate type, and the issue and review dates — never contact details.

Children: registrations and submissions from participants under 18 require the consent of a parent or guardian, including for any publication of their work or images.

Where data is held and who processes it: the digital portal (members, event registrations, forms, newsletter and certificate data) is hosted in Alibaba Cloud's Singapore region, and notification and newsletter emails are sent through Alibaba Cloud DirectMail; the website is hosted by Vercel. Online events take place on Zoom or Tencent Meeting. Where personal data is transferred outside Singapore, we require providers to protect it to a standard comparable to the PDPA.

Retention: we keep personal data only as long as needed to run our programmes and meet legal obligations, then delete or anonymise it. Once you unsubscribe, we stop sending you the newsletter.

Your rights: write to info@gacee.org to request access to or correction of your personal data, ask for deletion, or withdraw consent. We will reply within a reasonable time. Our data protection contact can be reached at the same address.

Cookies: this site uses a single cookie to remember your language choice (gacee_lang). We use no analytics, advertising or cross-site tracking tools.

We will publish any updates to this notice on this page and change the date above.
